Smackfest Sponsor Guidelines/Schedule
We are very excited to have you as one of our sponsors for the 22nd Annual SmackFest Volleyball Tournament! We are a few weeks out and there are some items we want to cover in preparation for the event. Please review the following information regarding final actions, event agenda and setup:
MARKETING COLLATERAL/LOGOS (BY FRI. 7/3)
We will be emailing all participants over the next few weeks, and would like to include promotional information on your company. Please email Erica.Smackfest@gmail.com with any web banners, Social Media and site links, and special messaging you’d like us to convey.
CONTRACTS & PAYMENT (BY MONDAY 7/6)
If we have not already signed the Sponsorship Agreement, please do so and email to Billmagnum22@gmail.com. We will need to coordinate contracts & payment PRIOR to the event. Please respond to this email with your preferred method of payment. Checks should be made out to Magnum Venture Partners.
TEAM BAGS – GIVE AWAYS & PRIZES (BY TUES, JULY 14TH AT NOON)
If we have not done so already, please coordinate with Erica (firstname.lastname@example.org) for any give aways & promotional items you want included in the Goody Bags that are given out to all participants. We will be collecting items NOW and up through July 14th. We are putting together the team bags at 933 6th St, Unit D, Hermosa Beach, CA 90254. Delivery to that address is acceptable. We have a team of folks helping to put together the bags, but assistance is also welcomed 😉 We have 200 Team Bags to put together for approximately 1000 players and can use all of the help we can get!!
PA ANNOUNCEMENTS (BY WED., JULY 15TH AT NOON)
Please email Erica a short paragraph for PA Announcements at the event. Also, include a website/social media link if you would like mentioned as well. We want to acknowledge our sponsors and let everyone know you were a big part of the day!
SCHEDULE OF EVENTS / RULES & RESTRICTONS
Please see a brief schedule of events. If you have specific needs, please respond to this email and we will do what we can to make accommodations.
SATURDAY, JULY 18TH AGENDA
5:30am-6:30am: LOAD IN/BOOTH SETUP – Red Bull/Bud/Barefoot
6:30-8 am: LOAD IN/BOOTH SET UP for rest of sponsors – All Booths should be completely setup by 8:30am
9:15am-4:00pm: POOL PLAY
4:00pm-7:30pm: CHAMPIONSHIP PLAY
5:30pm-9:00pm: TEARDOWN – sponsors, please don’t start tearing booth down till 5pm at earliest
END TIME & TEARDOWN
– Pool play will end at 4pm – some partners start breaking down between 5-6pm
– Finals are usually played between 6:30pm-7:30pm
– Same rules apply upon exit (listed above)
THURSDAY, JULY 16th – PRE-PARTY/ CAPTAINS MEETING @ SHARKEEZ AND ESTABLISHMENT
SATURDAY, JULY 18th – DAYTIME – ALL DAY PARTY AT SHARKEEZ
SATURDAY, JULY 18th – EVENING – CHAMPION’S PARTY AT THE DECK
SETUP: RULES & RESTRICTIONS- PLEASE READ CAREFULLY!
Booth Setup will begin at 5:00am. Dean Edmonston will be your primary contact upon arrival (email@example.com). Unload at 10th Street and the Strand in Hermosa Beach, (best address to google is 1016 The Strand, Hermosa Beach, CA 90254). No trucks will be allowed on the strand at setup or teardown. Please park on the street, use dollies to load in & out. Load In/Out staff must wear neon orange work vests. WE REQUEST THAT ALL LOAD IN IS COMPLETED BY 7:45AM.
FOOTPRINT: Attached please find the general event footprint. This will give you a basic idea of your location. Sponsor locations will be roped off with signs.
TENT PLACEMENT: We will have areas roped off along the Strand wall for sponsor booth/tents – Dean will escort you to you area upon arrival early Sat. 7/18. YOU MUST PLACE YOUR TENT/BOOTH 10’ OFF THE STRAND WALL – a Hermosa law.
ENVIRONMENTAL CONSIDERATIONS: Any structure utilizing an oil base system must have a drip pan under the oil compartment.
NO ELECTRIC: We will not provide electric for your booth. If you are bringing a generator, we must inform the city. Please inform Billmagnum22@gmail.com if you plan to use a generator.
PARKING: There is metered parking available in the lot south of the pier. There is also a parking structure north of Pier plaza.
